Job Description Summary

The purpose of this position is to provide administrative support for recruiting, employment activities, the administration of employee benefit paperwork, and training. This is accomplished by assisting with applicant, new hire and employee processes, recruiting, benefits paperwork, producing and distributing training manuals, and maintaining files and records. Other duties include entering data and miscellaneous information on applicants, new hires and providing employee benefits information, mailing documents, and assisting with other general office activities.

Minimum Qualifications

Associate’s degree, diploma or equivalent from a college, technical, business, vocational, or correspondence school.

Three years related experience.

Additional years of related work experience may be substituted for education.

Customer Service: Greet visitors, answer telephones, take messages, route calls, and respond to inquiries regarding the College. Refer visitors to appropriate contact/department. Provide assistance to prospective employees. Assist with the completion of on line application forms.

Pre-employment Activities: Develop online vacancy announcements with assistance from hiring managers. Advertise vacancy on Monster, jobsincorpuschristi, Work in Texas, Higher Ed Jobs, and any other applicable sites requested by department. Create purchase orders for advertisements as necessary. Conduct “First meeting” with search committee. Work with hiring manager and/or search chair in the development of the Matrix. Review applications and related documentation to ensure compliance with College policies and governmental regulations. Advise applicants regarding outstanding documentation and assist in the resolution of difficulties. Screen applicants for minimum qualifications. Assist hiring managers and search committee members throughout hiring process.

Employment: Ensure Hiring Proposal is complete and accurate. Communicate with hiring manager/chair and with applicants as necessary. Authorize Contentra form when applicable and follow up until results obtained. Process criminal background check and document findings when applicable.

Acceptance of Offer: Prepare reimbursement for travel expenses and process. Benefits Coordinator receives copy of 101/501. Make copy of offer letter, 101/501, and application for recruitment file. Original copies of 101/501, offer letter and application go to personnel file. Retention Management Transmittal document created.

New Employee Orientation: Meet with new employee on date of hire. Obtain I-9 documentation. Present new hire documents and assist with their completion. Enter data in to Datatel. Send copies of 101/501 to Budget and Payroll. Obtain all new hire paperwork for all positions College Relations informed of new faculty and exempt employees to update college catalogue. Send new employee’s supervisor notice of required training.

Serve as back-up for Benefits Coordinator. Receive Benefit packets from Benefits Coordinator and conduct initial benefit meeting with new hires as needed. Keep abreast of benefit information and changes from Coordinator.
