Job Description Summary

The purpose of this position is to provide support to the HR Assistant Director. Support includes areas of recruiting, process assistance and conducting first meetings for employment search processes, electronic file entry and maintenance, employment activities, administration of performance appraisals, employee contracts, training, providing support to other HR staff.

Required Job Knowledge, Skills, Abilities

Proficient with MS Word and Excel. Detail-oriented with a high degree of accuracy maintaining records. Strong written and verbal communication skills, excellent organizational skills and strong customer service skills. Able to communicate courteously and effectively with students, faculty, staff, and public.

Minimum Qualifications

Associate’s degree. Five years experience to include applicant evaluation procedures and processes, HR information system data entry and new employee orientation. Additional years of related work experience may be substituted for the education requirement. One year of experience = 15 credit hours.

Preferred Qualifications

Higher education experience.
Supervisory experience.
Knowledge of employee contract and performance appraisal administration.

Pre-employment Activities: Provide assistance to prospective employees. Assist with the completion of application forms or DMC Jobs. Advise applicants regarding outstanding documentation and assist in the resolution of difficulties. Review new hire packets for completion.

Employment: Prepare vacancy announcement or guide hiring managers with utilizing the online applicant tracking system. Advertise vacancy on Monster, jobsincorpuschristi, Work in Texas, Higher Ed Jobs, and any other applicable sites requested by department. Create purchase orders for advertisements as necessary. Create hiring matrix and provide to supervisor for approval. Review for minimum qualifications and complete applications. Assist applicants when necessary. Authorize Contentra form when applicable and follow up until results obtained. Process criminal background and obtain approval when needed.

Acceptance of Offer: Prepare reimbursement for travel expenses and process. Close out position in DMC Jobs, ensuring all applicants moved in workflow and hiring proposal completely routed. Benefits Coordinator receives copy of hiring proposal. Make copy of hiring proposal, and all application materials for personnel file. Original copies of hiring proposal, offer letter and application go to personnel file. Retention Management Transmittal document created. Move complete folder to inactive area. Create personnel file.

Complete same process for Faculty and exempt positions after contract is signed.

Contracts: Prepare contract for newly tenured faculty. Prepare renewal / annual contracts for exempt and assistant instructor. Current active list of exempt employees provided by Payroll to check with performance appraisal to verify renewal qualification. Prepare contract for newly hired exempt and non-exempt positions. Follow up with employees to ensure all contracts are signed and returned. Send copy of contracts to payroll and Provost office as needed.

When applicable, send prospect for physical and drug test and complete authorization form. Send required information to Concentra. Obtain new hire packet from department. Send new employee’s supervisor notice of required training.
