Job Description Summary

The purpose of this position is to manage the routine administrative functions of the Human Resources Department, assist the HR Department in responding to questions about human resource needs, and communicate with internal and external entities.

Required Job Knowledge, Skills, Abilities

Proficiency with MS Office applications including Word, Excel, and Outlook.

Detail-oriented with a high degree of accuracy maintaining records.

Excellent organizational skills.

Strong written and verbal communication skills

Strong customer service skills.

Ability to communicate courteously and effectively with students, faculty, staff, and public.

Minimum Qualifications

One year of advanced study or training past the high school diploma or GED equivalency. One year related experience in an office setting. Additional experience may be used for the education requirement.

Preferred Qualifications

Associate’s degree.

Higher education experience.

Experience working with in a Human Resources Office.

Receive and refer visitors and calls to the appropriate office personnel.

Take and distribute messages.

Assist employees/applicants with various forms, online application, and procedures.

Make arrangements for time, location, and participants of meetings as requested by staff.

Schedule tentative appointments for HR staff to include making arrangements for time, location, and participants as requested by staff.

Create typed draft and final meeting agendas for meetings as required.

Prepare information needed for the meeting by attendees as necessary.

Make travel arrangements for Director and/or staff as needed.

Copy and fax documents as needed.

Job Duty

Type correspondence, reports, and similar materials form rough drafts in accordance with established guidelines for review by originators; correct grammatical and spelling errors in draft material.

Receive and file correspondence, records, and reports; maintain files; dispose of files in accordance with College policies.

Assist supervisor in collection/preparation of documents for employees or new hires.

Create and/or maintain databases; enter employee data into Colleague database and/or SoftDocs, and/or document tracking software.
