Job Description Summary

The purpose of this position is to provide direction and organization for College publications production and assist with all aspects of College relations including website management, advertising, marketing, media relations, and promotional activities that facilitate external and internal communications for the College. This is accomplished by planning production of major College publications and print advertising; planning and implementing design concepts incorporating the College’s brand identity into all printed pieces; maintaining consistency and accuracy of information provided in publications, advertising and print media; performing layout and design work on a firsthand basis; working with Information Technology to facilitate web design and communication; providing placement of print advertising as necessary for recruitment or informing public; monitoring budgets for publications and print advertising; assisting in communicating College information to media outlets; ensuring updates of technology and software and troubleshooting technical problems; participating in regional and national organizations to influence and stay informed of broad issues; and participating in College committees to facilitate a professional atmosphere. Other duties include assisting with additional duties as assigned.

Minimum Qualifications

Bachelor’s degree.

Plan production of major College publications and print advertising by utilizing academic calendar to plan production times, delivery dates, mailing dates, for College Catalog, class schedules, commencement programs, and other major publications; plot print advertising sweeps based on academic calendar; review draft production calendar with appropriate administrators for adjustments; plan and adjust production values and specification of all major publications as necessary throughout the years; plan specifications for major publications and deliver to Purchasing Department in advance of sealed bidding process; and use and design internal job tracking forms and methods to keep track of past projects for ease of referral.

Plan and implement design concepts incorporating the College’s brand identity into all printed pieces by organizing photo shoots and interviews of College students for use in publications and promotional materials; perform layout and design of College publications along brand-specific design themes; delegate design and layout tasks to staff members while advising on appropriate design parameters; meet with other administrators and department personnel on new print projects and ensure that all external publications adhere to brand identity as appropriate while meeting needs of project; work with outside printers and campus duplicating facilities to ensure finished pieces convey the College’s brand identity; and work with IT to implement brand identity on top tiers of the College’s web pages.

Perform layout and design work on a first hand basis by working with current, industry-standard layout and design software on a variety of projects with multiple deadlines; maintain awareness of cross-platform issues and technical issues pertaining to prepress and printing procedures and concepts and incorporates this awareness into projects; incorporate illustrations, font, and design principles as appropriate to specific audiences while maintaining College brand identity and feel; transfer outside text and files to appropriate format for use in layout; and adjust all layout and design concepts to suit projected budget and timelines for each project.

Work with Information Technology to facilitate web design and communication by serving as co-chair of Web Advisory Committee alongside the Internet Administrator; plan and implement overall design concepts for web projects; provides IT with appropriate photography, text, information, and graphics for translation to web format; generate files to translate printed publication to web format; serve as “content webmaster” for top tiers of College website; and work with outside service bureaus or contracted web designers on specific web-related projects.

Provide placement of print advertising as necessary for recruitment or informing public by generating annual advertising calendar around registration periods; work with advertising or departmental representatives of various publications to coordinate placement, appropriate formatting, file sharing, and technical issues; provide Office Assistant with run dates, ad sizes, and other information to facilitate bookkeeping functions; generate layout and artworks of ads in appropriate format and for each publication; acquire appropriate and correct information for use in advertising; and delegating duties to various staff members as necessary.

Monitor budgets for publications and print advertising by working with Office Assistant to monitor current and annual budgets for all print projects; use data from previous years and current goals to develop projected budgets for upcoming fiscal years; ensure that all print projects are quoted or sent for sealed bids to meet specifications and requirements of Purchasing Department; compose quote requests and specifications for all publications to be printed off-campus and distribute to appropriate potential service bureaus; and compose specifications and provide to Purchasing Department in preparation for sealed bid process for appropriate projects per state regulations and College policy.

Assist in communicating College information to media outlets; work with Media Relations Coordinator on communicating College information and provide graphics, photography or other materials as needed; assist in communicating information quickly to media outlets during times of emergency or crisis; assist in writing and editing of news releases for dissemination to media; and routinely assist with managing sensitive information.

Ensure updates of technology and software and troubleshooting technical problems by providing first-response troubleshooting to technical issues; communicate problems to College Help Desk when problems are outside scope of office capabilities; research up-grades to software and equipment as necessary; and maintain internal networking and file sharing systems.
